Management Presentation: 8 Tips, Examples & a Template

In a corporate context, presenting works wonders for a career. Most professionals get exposure to presenting to informed colleagues and department managers. It’s an ideal way to get visibility and show value. But a management presentation to senior executives who aren’t familiar department nuances is a different ballgame.

A management presentation is a high-level summary to senior executive that optimizes reports to include only the details relevant to directorial decisions . They are notoriously difficult to navigate for two reasons: 1. most executives do not have working knowledge of the nuances in each department , 2. presenters rarely have time to understand executives’ preferences .

More than anything else, good management presenters learn how to strike a balance in the degree of detail: they provide enough detail so executives make informed decisions, but not so much detail that they cause confusion.

This article explores how to make a good management presentations in PowerPoint using 4 management presenting best practices , 4 management presenting techniques , providing examples for each, and finishing with a management presentation template you can apply in real life. You can use it as a jumping off point for deeper communication curriculum .

I will use a financial analyst perspective in this article, but everything here applies to data and business analysts as well.

Ask Executives Their Preference Ahead of Time

If you’ve ever taken a class on presentation techniques, you’ve heard the old adage “know your audience.” It’s true, the best way to deliver a great presentation is to align your message with what your audience already understands. The same applies to a management presentation.

The challenge is that, more often than not, executives are too busy for you to get to know them well. This means you hardly get the chance to understand how they like presentations. So what can you do? Well, ask them! There’s no harm in sending an email to understand better. And what’s more, once you know, you can always defer to their preferences in the future.

For a financial management presentation, common questions to ask include the following:

  • Do you prefer to see raw data, or only visualizations?
  • Do you prefer charts or table summaries?
  • Would you like a written explanation on paper for each slide?
  • Do you like averages alone, or do you prefer means, or standard deviation?
  • What interests you most in a presentation?

If you gather some helpful insights, then your presentation will be that much better. That said, you may not get a response, or it may be quick and not insightful. But most senior executives will appreciate you asking .

The best part is you will be able to surprise them. Using the best practices and techniques below, in additional to any insights gathered form your email, will work wonders for you.

Have 1 Message, and 1 Message Only

The easiest mistake to make on a management presentation is trying to deliver multiple messages. Senior executives go through loads of meetings every day, and each meeting they have includes a wave of information. Your mission should be to deliver 1 essential message so they can easily understand and compartmentalize it.

This is no easy task. When I try to narrow down the focus of my management presentation message, it seems like I leave out critical information along the way. The key is to tell a story to incorporate critical information as part of a story towards the essential message.

For example, imagine you work for a wholesale watch company called Batch Watch . You want to explain a financing operation in which the company has the option of two loans to fund the initial costs of 10,000 watches. These loans have different interest rates and maturity dates. Loan A is better if the company expects to sell the watches within 3 months, while Loan B is better if the company expects to sell over more than 3 months. Each has cancellation fees and cash flow impacts.

Instead of showing the cancellation fees and cash flow impact of the each loan, all you need to say is “ we expect the company to sell them within 3 months, and we recommend loan A for that reason.” If the executives disagree on the sale timeline, they will ask for more information.

This is how you keep senior executives engaged, by integrating them in the story you tell. Ultimately, the essential message of your presentation should be how much profit the company will make from the watch funding operation. Senior executives should leave feeling like the project is in good hands with you, and they only feel that way when you tell a story around the essential message .

Whatever the Message, Use Data

Whatever message you want to send, it needs to be backed up by data. In the example above the data was financial, but it’s not always that simple. Context may require you to provide KPIs and perform extensive data analysis that culminates in a small output that your viewers can easily digest.

The Only Words Should be “Thought Starters”

As a general presentation principle, you should not write many thoughts down on presentation slides. Words have two negative impacts on the audience: they demand energy from the reader, and they make the reader feel compelled to read, lest they misunderstand.

If you can avoid putting text blocks altogether, do. If you don’t need any writing at all, don’t. However, if you need guidance as you speak or want to provide reminders for a later data, use “Thought Starters.”

Thought starters are phrases of 3 words maximum that contain ideas leading to the essential message. People often call them “bullet points,” which is common for list-style thought starters. Personally, I prefer to place thought starters at different places on a slide. When I use a chart, for example, I put thought starters at relevant places on the slide.

Keep it Short

Your presentation should never consume more than 80% of the allotted timeframe. This means that if you plan a 5 minutes meeting, deliver the presentation in 4 minutes. If you’re given 30 minutes, do it in 25 minutes. If you have 1 hour, do it in 45 minutes.

By keeping the presentation short, you relieve the audience and you allow for some question buffer. Have you ever sat in a meeting planned for 1 hour, and at 45m it ends early? It’s a pleasure for everyone. Most of us feel like we’re running behind — when you put us ahead of schedule, we love you!

At the same time, senior executives may bombard you with questions throughout the presentation. If you planned to fill the whole timeframe, you won’t finish. But if you planned to finish early, you still have a chance.

And if you use the rest of these best practices and techniques, those senior executives shouldn’t need to ask too many questions!

Practice 7 Times in Advance

There’s a mix of opinions on the number of times you should rehearse a presentation before doing it live, but most people agree that it’s somewhere between 5 and 10 times. But just practicing isn’t enough, there are a few criteria you must meet:

  • Practice in the room you will present in. There’s something about envisioning yourself live that really makes a difference. When you practice in a space other that where you’ll present, it’s good. But when you practice in the “live” room, you’re able to sensitize yourself to the environment, which calms nerves so you can focus on the message.
  • Have an audience. We all behave differently when there’s stimulus of other people around. Whenever possible, get one or two people to whom you can present. In addition to getting used to having an audience, you’ll also get some feedback.
  • Use the same volume of voice. When we’re not “live,” we have a tendency to hold back on our voice. This is detrimental to the presentation because you feel taken off guard by your own voice. Make sure to envision yourself in front of the senior execs when you practice.

Use a CSP Model (Challenge, Solution, Progress)

Every presentation needs structure, but it’s easy to forget that we need to guide our audience. A great way to structure management reports is using the CSP model. CSP stands for Challenge, Solution, Progress, and it’s exactly what it sounds like.

You need to explain the challenge or goal, explain what the solution to the challenge is (or how to achieve the goal), and show where you are in the steps to completing that goal.

For example, let’s look at our Batch Watch case. Imagine you need to find funding for a new product launch — $100,000 to be exact. A sample CSP model for this would be a slide that shows:

By using the CSP model, you guide the audience. However, it’s important to note that the CSP model is not a summary . It’s an overview of the process, but a summary should always come before. Let’s talk about it now.

Begin with a Summary of Exactly 3 Points

Any good presentation begins with a summary. And a good summary communicates the essential message simply in 3 points. However, the summary is not the same thing as the CSP model. Instead, it provides an alternative view on the challenge and and solution.

For example, using our Batch Watch case of funding a new product, you could address a summary in the following way:

  • Challenge, Solution, Progress
  • Funding acquisition
  • Project Timeline

This provides additional details that are most relevant to the project and carry added value to the CSP model.

Use only Bar Charts (aka Column Charts), Line Graphs, and Scatter Plots

Whether it’s for data, financial, and business analyst topics , management presentations should only ever have bar charts, line graphs, and scatter plots. They are common, rich in information, and well understood. Any other kind of graph is distracting more than anything else.

A bar graph is useful when you want to compare like variables. For example, if you want to show the average size of Canadian trout versus American trout. A common mistake, though, is to use bar graphs to show change over time. While it’s not incorrect to do so, line graphs are better for this purpose.

A line graph is useful when you want to show change in one variable over time (we call this time series data). For example, if you want to show the progression of revenues over time, line graphs are the perfect way to do so.

A scatter plot is best when you want to compare a set of observations of one variable to a set of observations of another. It’s the ideal way to quickly visualize the relationship between two variables. For example, if you want to see how company revenues compare to GDP, you could use a scatter plot like this:

For example, let’s look at our Batch Watch case. If we want to see how our company is performing compared to the economy as a whole, we could use this scatter plot. As you can see, we have a positive (bottom left to top right) relationship, but a weak one (points not clustered closely).

Design Slides Using the Company Logo

When you’re presenting to senior executives, you want your slides to look professional. The best way to do that is by putting your company logo on them, including any corporate design standards (colors, fonts, etc). The simplest way to introduce your team is by means of a team slide . This should show high-quality images of your team, either individually or in a group photo.

Keep text to an absolute minimum here.  Anything more than the names of your employees can be distracting.  You can go into greater detail in your narration.

How to Structure your Presentation, with Examples

For many people the thought of delivering a presentation is a daunting task and brings about a  great deal of nerves . However, if you take some time to understand how effective presentations are structured and then apply this structure to your own presentation, you’ll appear much more confident and relaxed.

Here is our complete guide for structuring your presentation, with examples at the end of the article to demonstrate these points.

Why is structuring a presentation so important?

If you’ve ever sat through a great presentation, you’ll have left feeling either inspired or informed on a given topic. This isn’t because the speaker was the most knowledgeable or motivating person in the world. Instead, it’s because they know how to structure presentations – they have crafted their message in a logical and simple way that has allowed the audience can keep up with them and take away key messages.

Research has supported this, with studies showing that audiences retain structured information  40% more accurately  than unstructured information.

In fact, not only is structuring a presentation important for the benefit of the audience’s understanding, it’s also important for you as the speaker. A good structure helps you remain calm, stay on topic, and avoid any awkward silences.

What will affect your presentation structure?

Generally speaking, there is a natural flow that any decent presentation will follow which we will go into shortly. However, you should be aware that all presentation structures will be different in their own unique way and this will be due to a number of factors, including:

  • Whether you need to deliver any demonstrations
  • How  knowledgeable the audience  already is on the given subject
  • How much interaction you want from the audience
  • Any time constraints there are for your talk
  • What setting you are in
  • Your ability to use any kinds of visual assistance

Before choosing the presentation’s structure answer these questions first:

  • What is your presentation’s aim?
  • Who are the audience?
  • What are the main points your audience should remember afterwards?

When reading the points below, think critically about what things may cause your presentation structure to be slightly different. You can add in certain elements and add more focus to certain moments if that works better for your speech.

What is the typical presentation structure?

This is the usual flow of a presentation, which covers all the vital sections and is a good starting point for yours. It allows your audience to easily follow along and sets out a solid structure you can add your content to.

1. Greet the audience and introduce yourself

Before you start delivering your talk, introduce yourself to the audience and clarify who you are and your relevant expertise. This does not need to be long or incredibly detailed, but will help build an immediate relationship between you and the audience. It gives you the chance to briefly clarify your expertise and why you are worth listening to. This will help establish your ethos so the audience will trust you more and think you’re credible.

2. Introduction

In the introduction you need to explain the subject and purpose of your presentation whilst gaining the audience’s interest and confidence. It’s sometimes helpful to think of your introduction as funnel-shaped to help filter down your topic:

  • Introduce your general topic
  • Explain your topic area
  • State the issues/challenges in this area you will be exploring
  • State your presentation’s purpose – this is the basis of your presentation so ensure that you provide a statement explaining how the topic will be treated, for example, “I will argue that…” or maybe you will “compare”, “analyse”, “evaluate”, “describe” etc.
  • Provide a statement of what you’re hoping the outcome of the presentation will be, for example, “I’m hoping this will be provide you with…”
  • Show a preview of the organisation of your presentation

In this section also explain:

  • The length of the talk.
  • Signal whether you want audience interaction – some presenters prefer the audience to ask questions throughout whereas others allocate a specific section for this.
  • If it applies, inform the audience whether to take notes or whether you will be providing handouts.

The way you structure your introduction can depend on the amount of time you have been given to present: a  sales pitch  may consist of a quick presentation so you may begin with your conclusion and then provide the evidence. Conversely, a speaker presenting their idea for change in the world would be better suited to start with the evidence and then conclude what this means for the audience.

Keep in mind that the main aim of the introduction is to grab the audience’s attention and connect with them.

3. The main body of your talk

The main body of your talk needs to meet the promises you made in the introduction. Depending on the nature of your presentation, clearly segment the different topics you will be discussing, and then work your way through them one at a time – it’s important for everything to be organised logically for the audience to fully understand. There are many different ways to organise your main points, such as, by priority, theme, chronologically etc.

  • Main points should be addressed one by one with supporting evidence and examples.
  • Before moving on to the next point you should provide a mini-summary.
  • Links should be clearly stated between ideas and you must make it clear when you’re moving onto the next point.
  • Allow time for people to take relevant notes and stick to the topics you have prepared beforehand rather than straying too far off topic.

When planning your presentation write a list of main points you want to make and ask yourself “What I am telling the audience? What should they understand from this?” refining your answers this way will help you produce clear messages.

4. Conclusion

In presentations the conclusion is frequently underdeveloped and lacks purpose which is a shame as it’s the best place to reinforce your messages. Typically, your presentation has a specific goal – that could be to convert a number of the audience members into customers, lead to a certain number of enquiries to make people knowledgeable on specific key points, or to motivate them towards a shared goal.

Regardless of what that goal is, be sure to summarise your main points and their implications. This clarifies the overall purpose of your talk and reinforces your reason for being there.

Follow these steps:

  • Signal that it’s nearly the end of your presentation, for example, “As we wrap up/as we wind down the talk…”
  • Restate the topic and purpose of your presentation – “In this speech I wanted to compare…”
  • Summarise the main points, including their implications and conclusions
  • Indicate what is next/a call to action/a thought-provoking takeaway
  • Move on to the last section

5. Thank the audience and invite questions

Conclude your talk by thanking the audience for their time and invite them to  ask any questions  they may have. As mentioned earlier, personal circumstances will affect the structure of your presentation.

Many presenters prefer to make the Q&A session the key part of their talk and try to speed through the main body of the presentation. This is totally fine, but it is still best to focus on delivering some sort of initial presentation to set the tone and topics for discussion in the Q&A.

Demonstration

Use the demonstration structure when you have something useful to show. This is usually used when you want to show how a product works. Steve Jobs frequently used this technique in his presentations.

  • Explain why the product is valuable.
  • Describe why the product is necessary.
  • Explain what problems it can solve for the audience.
  • Demonstrate the product  to support what you’ve been saying.
  • Make suggestions of other things it can do to make the audience curious.

Problem-solution

This structure is particularly useful in persuading the audience.

  • Briefly frame the issue.
  • Go into the issue in detail showing why it ‘s such a problem. Use logos and pathos for this – the logical and emotional appeals.
  • Provide the solution and explain why this would also help the audience.
  • Call to action – something you want the audience to do which is straightforward and pertinent to the solution.

Storytelling

As well as incorporating  stories in your presentation , you can organise your whole presentation as a story. There are lots of different type of story structures you can use – a popular choice is the monomyth – the hero’s journey. In a monomyth, a hero goes on a difficult journey or takes on a challenge – they move from the familiar into the unknown. After facing obstacles and ultimately succeeding the hero returns home, transformed and with newfound wisdom.

Another popular choice for using a story to structure your presentation is in media ras (in the middle of thing). In this type of story you launch right into the action by providing a snippet/teaser of what’s happening and then you start explaining the events that led to that event. This is engaging because you’re starting your story at the most exciting part which will make the audience curious – they’ll want to know how you got there.

Remaining method

The remaining method structure is good for situations where you’re presenting your perspective on a controversial topic which has split people’s opinions.

  • Go into the issue in detail showing why it’s such a problem – use logos and pathos.
  • Rebut your opponents’ solutions  – explain why their solutions could be useful because the audience will see this as fair and will therefore think you’re trustworthy, and then explain why you think these solutions are not valid.
  • After you’ve presented all the alternatives provide your solution, the remaining solution. This is very persuasive because it looks like the winning idea, especially with the audience believing that you’re fair and trustworthy.

Transitions

When delivering presentations it’s important for your words and ideas to flow so your audience can understand how everything links together and why it’s all relevant. This can be done  using speech transitions  which are words and phrases that allow you to smoothly move from one point to another so that your speech flows and your presentation is unified.

Transitions can be one word, a phrase or a full sentence – there are many different forms, here are some examples:

Moving from the introduction to the first point

Signify to the audience that you will now begin discussing the first main point:

  • Now that you’re aware of the overview, let’s begin with…
  • First, let’s begin with…
  • I will first cover…
  • My first point covers…
  • To get started, let’s look at…

Shifting between similar points

Move from one point to a similar one:

  • In the same way…
  • Likewise…
  • Equally…
  • This is similar to…
  • Similarly…

Internal summaries

Internal summarising consists of summarising before moving on to the next point. You must inform the audience:

  • What part of the presentation you covered – “In the first part of this speech we’ve covered…”
  • What the key points were – “Precisely how…”
  • How this links in with the overall presentation – “So that’s the context…”
  • What you’re moving on to – “Now I’d like to move on to the second part of presentation which looks at…”

Physical movement

You can move your body and your standing location when you transition to another point. The audience find it easier to follow your presentation and movement will increase their interest.

A common technique for incorporating movement into your presentation is to:

  • Start your introduction by standing in the centre of the stage.
  • For your first point you stand on the left side of the stage.
  • You discuss your second point from the centre again.
  • You stand on the right side of the stage for your third point.
  • The conclusion occurs in the centre.

Key slides for your presentation

Slides are a useful tool for most presentations: they can greatly assist in the delivery of your message and help the audience follow along with what you are saying. Key slides include:

  • An intro slide outlining your ideas
  • A  summary slide  with core points to remember
  • High quality image slides to supplement what you are saying

There are some presenters who choose not to use slides at all, though this is more of a rarity. Slides can be a powerful tool if used properly, but the problem is that many fail to do just that. Here are some golden rules to follow when using slides in a presentation:

  • Don’t over fill them  – your slides are there to assist your speech, rather than be the focal point. They should have as little information as possible, to avoid distracting people from your talk.
  • A picture says a thousand words  – instead of filling a slide with text, instead, focus on one or two images or diagrams to help support and explain the point you are discussing at that time.
  • Make them readable  – depending on the size of your audience, some may not be able to see small text or images, so make everything large enough to fill the space.
  • Don’t rush through slides  – give the audience enough time to digest each slide.

Guy Kawasaki, an entrepreneur and author, suggests that slideshows should follow a  10-20-30 rule :

  • There should be a maximum of 10 slides – people rarely remember more than one concept afterwards so there’s no point overwhelming them with unnecessary information.
  • The presentation should last no longer than 20 minutes as this will leave time for questions and discussion.
  • The font size should be a minimum of 30pt because the audience reads faster than you talk so less information on the slides means that there is less chance of the audience being distracted.

Group Presentations

Group presentations are structured in the same way as presentations with one speaker but usually require more rehearsal and practices.  Clean transitioning between speakers  is very important in producing a presentation that flows well. One way of doing this consists of:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what health anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Elnaz will talk about the prevalence of health anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Elnaz”.
  • The next speaker should acknowledge this with a quick: “Thank you Joe.”

From this example you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

Here’s an example of a presentation given by a relatively unknown individual looking to inspire the next generation of graduates. Rick’s presentation is unique in many ways compared to the two above. Notably, he uses no visual prompts and includes a great deal of humour.

However, what is similar is the structure he uses. He first introduces his message that the wisest man he knew was a third-grade dropout. He then proceeds to deliver his main body of argument, and in the end, concludes with his message. This powerful speech keeps the viewer engaged throughout, through a mixture of heart-warming sentiment, powerful life advice and engaging humour.

As you can see from the examples above, and as it has been expressed throughout, a great presentation structure means analysing the core message of your presentation. Decide on a key message you want to impart the audience with, and then craft an engaging way of delivering it.

4 lessons on how to develop a new business department

As companies grow and develop, so do the departments needed to facilitate different functions. IT, quality assurance, training, human resources, and marketing are all examples of this. Creating a new department is an exhilarating experience for many managers because it’s an opportunity to develop something out of nothing, and there is enormous potential for creativity, recognition, and promotion.There are managers, though, who refuse these department innovation assignments, preferring to stay in roles that are already established in the company because creating a new department can be risky. If it doesn’t achieve recognition and acceptance as quickly as stakeholders expect it to, those managers could lose their job.

However, if you are a manager with an entrepreneurial bent and you want to innovate a new department, there are several best practices from business startups that you can take with you as you develop a new business union.

1. Understand who your stakeholders and investors are and what they expect

A company starts a new department for a reason–there is a perceived need for the new department, and that need has reached the point where there is resolve to create it and fund it. If you are the one heading up the new department, you should make it a point to understand who your stakeholders and investors are and what their expectations are. It will be your job to meet or exceed those expectations.

2. Recruit strong people

You will beat the drums for your new department as it develops a reputation and a place within the organization. You can’t do this if you are also doing all of the daily work. This is why it is important to recruit strong people into your organization and to develop an excellent working team.

3. Understand the company’s pain points

If a company wants to establish a separate quality assurance department, there is probably a reason for it. Perhaps the company has been experiencing product or process failures. If a separate IT department is being called for when IT used to be a function within finance, it might be because the tasks of technical IT and daily IT security have outgrown the resources and skillsets of the finance department. If marketing is the new department being called for, it might be because sales has realized that it only wants to sell–not chart demographics, develop strategic plans, and organize promotions and campaigns. The sooner you get a handle on what the company’s pain points are, the sooner you’ll know where the new department can produce both value and pain relief.

4. Focus on developing a brand

A new department, like a new company, must develop an identity and also deliver value that its customers want. It is up to the new department’s manager to develop this departmental identity and to create the value that the department can bring to the other departments within the company. Once others within the company see what the new department can deliver and what it is all about, the department can begin to root itself into the corporate fabric and assume its place among the other company departments.

There are many similarities between creating a new department within a company and launching a startup. As a manager of a new business entity, you have to cultivate trust in your constituents, develop a brand and an identity for your organization, and build credibility. Value is created when you continuously demonstrate that you can eliminate pain points and move the company forward. At the beginning of the process, promoting the new department–as well as developing it–will be primary functions. If you can recruit strong performers and build a cohesive team, the job will be that much easier.

Although creating a new department in your association can be challenging, it’s often a sign that your association is growing or venturing into new markets or strategic areas.

“No textbook will tell you the right time to create a new department, but there are a lot of reasons to launch one,” said Mary Lynn Fayoumi, CEO and president of HR Source. “If one department’s workload is getting too heavy or you don’t have a staff specialist to execute the goals effectively, it may be the right time.”

Amy Riccardi, CEO of Leadership Evolution Group, recommends starting the planning process with end goals in mind.

“The bottom line is important,” she said. “Think about your outcomes and where you want the new team to go.”

For associations to successfully launch a new department, they must map out goals early on, determine where it fits on the org chart, communicate the strategy to current staff, and then thoughtfully onboard new team members.

Plot the Big Picture

Start by identifying why the new department is necessary. Common reasons may include that the work no longer fits within another department, or the new department will help the association pursue a new opportunity in the marketplace.

“Once you have the ‘why,’ you want to move onto the purpose,” Fayoumi said. “Determine the goals and how they differ from those of existing departments. That will drive the responsibility of the department.”

Sometimes a new department can cause confusion among staff about where work belongs. According to Riccardi, that’s because the initiative often already has a presence in the organization before becoming a department.

“Be clear about the big-picture strategy and get everyone onboard with a shared vision,” she said. “For example, DEI can mean different things to different organizations, so if you created a new DEI department, make sure to define what that team is being assembled for.”

Determine Where It Fits

As you plan the new department, map out the organizational structure based on the goals and initiatives you’ve already identified.

“Figuring out where the department fits can be defined by budget levels, visibility to the board, or level of deliverables expected,” Fayoumi said. “You want to define the relationship between the new department and the rest of the organization.”

A successful department needs a strong team made up of the right people. Keep in mind that the right people to lead the initial change may not be the same people best suited to stabilize the department in the long term.

“You need to find the right champions to get things started and the right people to maintain whatever the department is moving forward,” Riccardi said. “Different leaders have different strengths, so it’s important to be aware that you might need to bring in new hires after the initial launch.”

Get Current Staff on Board

Staff may not initially understand or support the new department, especially if you’re bringing in outside hires. Take the information you’ve already pulled together, such as the department’s goals and priorities, and explain those concepts to the entire staff team.

“The more transparent you are, the less staff will be confused,” Fayoumi said. “Some organizations move so quickly to these decisions and just assume everyone will get it and then the new department doesn’t feel supported.”

To get everyone on the same page, also be sure to explain to staff how the decision to create a new department is based on a business need that will benefit all of them and the association.

“People aren’t going to make a change unless they are emotionally invested,” Riccardi said. “They need to know what’s in it for them and the organization.”

Support the New Team

Keep in mind that the work doesn’t end after the department launches. Leaders should continue to promote and support the new department’s team members.

“Leadership should help onboard the new leader to the rest of the organization and those the new hire will partner with,” Fayoumi said. “Doing this early on will make a big difference.”

She also recommends setting up new team members with a mentor or peer to help answer questions, give feedback, and provide support.

“You don’t want to leave them on an island without regular feedback because you could waste a lot of time, energy, and resources if things aren’t going well,” she said. “Identifying any barriers and successes early on lets you ramp up support quickly.”

When your business is growing, it demands more of you. It requires much of your time, energy, and ideas. You need to be quick to decide and to adjust especially when your business is rapidly expanding .

As expansion of your business comes to a head, the company will require a higher level of organization in order to function efficiently.

When only you and maybe a few workers constitute a business, the requirements are minimal. But say you want to diversify services or expand operations, things need to pick up in a significant way.

This is where you want to start thinking about adding departments to your business. This way, you can streamline production by compartmentalizing all tasks, and running your business as sum of all its operations.

It may seem easy to just create a department and let it run on its own. However, It requires tons of planning to ensure everything falls into place.

To help you out, here are the basic steps to effectively expand a business with the introduction of new departments.

Analyze the path of the company

When thinking about planning and strategizing , it’s critical to view pre-execution steps with the same importance as the implementation phase. As the saying goes, “if your fail to plan, you plan to fail.”

In other words, you need to consider where your company is going.

In the beginning, you may have just wanted to stay afloat, but taking that next step requires you to set a course. You need to sit down and contemplate, whether by yourself or with your core staff, to determine your overall business goals.

It’s also important to know where you are right now. Let’s call it your ‘Point A.’ This serves as the starting point from where you can move forward your business goals. In the same way as knowing your end goal is essential, you also need to know where you are coming from in order to reach your Point B, Point C, and so forth.

During your planning session , realize your current situation and check for alignment with your company’s original mission and vision. As you strategize on which department needs to be established, you’ll develop a better understanding of all the requirements that need to be addressed.

You also need to understand how your company appears from an outside perspective. This can be done by getting feedback from clients, from taking a look at your online reputation through Google search and evaluating your online presence, and through evaluation by your employees.

When you see how the company is viewed in every way, you can now decide what departments are necessary to be created.

Plan how to execute the introduction of new departments

Once you decide which department or departments to create, it’s time to get the ball rolling. This is where you need to execute what you have envisioned and start implementing guidelines for the new structure of your overall business system.

This is where it’s important to ask key questions. You have to decide who will run this department, whether you need a larger staff, and how this all fits into existing infrastructure.

For example, say you want to expand your sales department. Up to this point, you have been exceeding your expectations in terms of sales per month. Things snowball and there are more opportunities than you can reasonably handle with the existing structure.

If you’re hiring new people, you need to decide whether you’re going to post jobs online and where. You can try the large job post aggregators like Indeed or Monster, or you can rely on local sites. For example, if you’re in New York, it might be a good idea to post on a site that caters specifically to jobs in New York . You can also lean on employee referrals or take a look to social media sites like Linkedin for recruitment.

Also, establishing departments in the company could happen one department at a time or multiple departments all at once.

The former allows an option to test out the growth and follow through accordingly. The latter takes on more duties all at the same time, which is what happens when a business expands rapidly.

Regardless, the infrastructure needs to be there. You need to know who is handling what. For this, it’s best to put one qualified person in charge of the department and allow them to grow it as needed.

This person can report directly to the business owner, and can be held accountable for deciding what is and isn’t needed at any time. This process can usually happen slowly.

But sometimes you don’t have the choice to move slowly. If things aren’t coming together immediately, that is okay. It may take time for everything to fall into place.

Constantly review the progression

A new system needs guidance.

In order for you to make sure that the departments are in line with the company mission and vision, you need to establish a set of Key Performance Indicators (KPI) for every department.

This allows you to see if one department is working effectively or not. It is like a grading system for the business. If one fails, you need to see why it failed and then do corrective actions. If it passes, you recognize the workers and see that they continue producing.

It’s also important to make sure your staff is staying aligned with the duties as they were laid out. At first, it may be difficult to them because everything might seem new or different. However, if everyone cooperates and works according to the set guidelines, things should run smoothly.

It’s important to empower whoever you have running a new department. Ask if they have other ideas on how to help the company succeed.

You can also ask your clients or customers if they have been experiencing more effective service with the way things are now. This feedback allows you to grow more and learn more as things continue to grow for your company.

Proposed Arlington budget seeks stability-that could mean higher property taxes, department cuts

Arlington residents could see an increase in property taxes as municipal officials look to balance expanded city services with a return to pre-pandemic revenue growth rates.

The proposed 2025 budget includes $3.1 million in planned budget reductions across departments; plans to cut 22 positions; and $23 million in deferred department budget requests to the 2025 bond election.

City Manager Trey Yelverton described the volume of department requests as “not sustainable.”

“This year it’s more clear than any other year that that can’t be the case and we have to figure out how to work through what our priorities truly are,” he said.

A budget also comes with a proposed property tax increase of 0.5998 per $100 of assessed property value, up from 0.5898 per $100 in Fiscal 2024. The proposal, if approved, would mark the first property tax rate increase since 2004.

City Manager Trey Yelverton said city employees considered cuts or reallocations across departments before proposing a tax increase on residents. New services – including one to launch an initiative called “Clean Arlington” and the anticipated March launch of the senior center, ACTIV – and federal grants winding down mean the city has more to absorb.

“We’re able to absorb some of that new stuff, but we can’t absorb all of that new stuff,” Yelverton said.

Yelverton asked Arlington City Council members to finalize the proposed property tax rate by Tuesday, Aug. 13.

A larger increase, he said, would allow the city to take care of what he described are “chronic issues” the city is not addressing, including investments in streets, buildings and city vehicles.

Andrew Piel, District 4 city council member, asked about the city’s drop in municipal court revenue since 2010 – and contrasted the dip with the amount of money residents’ property tax increase would generate.

“It just kind of jumps out to me, especially given the multiple times I’ve been told by residents that traffic safety is a huge concern for them in Arlington, that the amount of citation revenue dropped $10 million in 10 years, and we’re looking at a $4.1 million tax increase. That just kind of boggles my mind,” he said.

Arlington’s property tax rate is project to increase by $7.2 million in the Fiscal 2025 budget. Sales tax under the plan is up by $4.1 million, and overall general fund revenue is up $15.7 million.

The budget includes $421,000 for the second half of Arlington Fire Department’s transition to four-person staffing, as well as the absorption of 47 grant-funded full-time positions totaling $3.2 million. The department reduced its budget by nearly $200,000 by cutting 10 unfunded firefighter trainee positions, as well as the public health nurse position.

Yelverton said he has asked Police Chief Al Jones to reallocate 10 police positions from different units to patrol, on top of 22 recent training academy graduates dedicated to patrol. Yelverton alluded to complaints from Arlington Municipal Patrolman’s Association , which has asked for more patrol staffing.

Yelverton said while the department has added 100 officers over the past 16 years and put them in special units – positions that former police administrations thought might help patrol officers.

“I think we ought to do a little better because I share interest that people value patrol and not just special units, you know, behavioral health unit that, geographic detective this, a traffic enforcement unit that, which doesn’t seem to be enforcing much traffic in my mind,” Yelverton said.

The city will host two town hall meetings: One at Arlington City Council Chamber Aug. 14 and at the South District Police Station Aug. 26.

Twenty-First Annual Intergovernmental Meeting on Nuclear Weapons Waste Cleanup

The National Governors Association, NGA, and five other groups hosted the 21 st annual Intergovernmental Meeting with the U.S. Department of Energy on Nuclear Weapons Waste Cleanup from November 30 – December 1, 2022, in New Orleans, Louisiana.

This annual meeting convenes state, local, tribal, and federal officials to discuss priorities and strategies for managing and storing defense nuclear waste and for remediation of production sites. It is convened by the U.S. Department of Energy Office of Environmental Management (DOE-EM) and the six intergovernmental groups partnering in, and affected by, the ongoing cleanup of defense-related nuclear waste. The six groups are:

  • Energy Communities Alliance (ECA)
  • Environmental Council of States (ECOS)
  • National Association of Attorneys General (NAAG)
  • National Conference of State Legislatures Nuclear Legislative Working Group (NCSL NLWG)
  • National Governors Association Federal Facilities Task Force (NGA FFTF)
  • State and Tribal Government Working Group (STGWG)

Meeting attendees listened to presentations and interacted with expert speakers and officials from the Department of Energy, Environmental Protection Agency, the National Park Service and the Department of Defense during sessions on waste disposal, workforce training, environmental justice, protection of historic landscapes, emerging contaminants, and climate change. To gain a deeper understanding of the DOE-EM budget process and the best strategies for providing input, attendees participated in a simulation of the DOE-EM budget development process, followed by a discussion of the DOE-EM budget and best practices for interacting with DOE-EM sites.

Natalia Saraeva, the team lead for consent-based siting at DOE’s office of Nuclear Energy, will discuss how they are developing an equitable consent-based siting process for interim storage of commercial Spent Nuclear Fuel, funding interested communities, and the timeline for decision making. She will also discuss how the current process may inform future efforts to identify a permanent repository for defense-related high-level waste.

Most people would agree that public speaking isn't easy, and this is especially true when you're feeling the added pressure that comes along with giving a speech at a loved one's wedding. Not only do you have the attention of dozens (if not hundreds!) of guests you probably don't know, but you're also trying to appeal to a group of people in a wide range of ages from all different phases of the couple's lives. What's more, you want your speech to delight the couple of the hour and be as appealing to your group of friends as it to the newlyweds' grandparents. All in all, it's a tough task.

Before you panic, know that we're here to help. Ahead, we're sharing a comprehensive guide on what you should include in your speech , how to nail your delivery, and questions to consider to get the brainstorming process started—all from noteworthy speakers, well-established speechwriters, and wedding planners (who have seen it all).

Every great wedding speech has one thing in common: the right flow. Factor in these guidelines to help you find your own organic rhythm.

Open With a Statement or Question

Don't lead with a joke or a reference to how nervous you are. "The goal is to engage your audience, not make it a boring one-way message," says award-winning motivational speaker Jaime Pfeffer . "You'll lose them if you do this."

Introduce Yourself

After your opener, introduce yourself, says Fallon Carter , a wedding planner, even designer, and professional speaker. "A lot of times, people don't know who is speaking, and they don't know their relationship to the bride or the groom," she says. "It's really important to identify yourself, so make sure you've prepared something."

Address Your Audience

As speaker and life strategy coach Mark Black, CSP , points out, focusing on yourself only enhances nerves. "Instead, concentrate on your audience and how you want them to feel. This will help you to speak from the heart, allowing your speech to do what it's supposed to do: Make the couple feel special while also engaging the audience."

Focus on a Few Points

Seasoned speaker Susan Bender Phelps, CEO of Odyssey Mentoring & Leadership , says her top guideline is to select one to three aspects of the newlyweds that you love and appreciate, along with no more than three short stories to illustrate each of these points (or that one point). "The simple, succinct story or stories where the bride and groom are the hero will work best." This is an excellent way to structure your speech and keep your message focused.

How Long Wedding Speeches Should Be

The ideal length for a speech is three to five minutes, with five minutes being the absolute maximum you should speak for. That's it. "I’ve never been to a wedding where anyone said, 'That was a great wedding, but the best man speech was just too short and that  ruined  it,'" says David Litt , the speechwriter for former President Barack Obama and author of Thanks, Obama .

Carter agrees: "I always say anywhere between two and five minutes—and no more than five minutes," she says. "You want to keep things short and sweet." It's just as important to keep in mind when the speech will take place when determining length, since toasts are often timed with meal courses: "Be mindful of how long a course generally takes or how long it takes people to eat," Carter adds, noting that most courses last between 15 and 20 minutes and that several speeches have to fit inside each window. "If there are other people speaking, you want to be mindful and give them space."

Wedding Speech Tips

Now that you've established the right framework for your words, take note of these essential tips for acing the delivery from a few speaking pros.

Rehearse Regularly

The better prepared you are, the more confident you'll be and the better your speech will be, says author and professional speaker Barry Maher . A good rule of thumb is to practice the speech enough that you can remember the points you want to make and the order in which you want to make them. That way, you can look out to the crowd and make eye contact every so often.

Record Yourself Practicing

Use your phone to take a video of yourself practicing, suggests Kate Kenfield , speaker and sex educator. "It can be a little uncomfortable to watch yourself, but you'll be able to identify distracting mannerisms, such as the verbal pauses 'um,' 'uh,' and 'like'." It's also a good idea to practice your speech in front of someone else. "A second opinion can help you craft your piece and make it that much stronger," she says.

Don't forget body language! Rehearse the speech in front of a mirror and notice things like your facial expression, eye contact, and hand position.

Avoid Alcohol

Although it may be tempting to look for some liquid courage, alcohol definitely won't do you any favors, warns keynote speaker Amy Morin , author of 13 Things Mentally Strong People Don't Do . "It may cause you to slur your speech and forget your lines, so wait until after your toast to celebrate," she advises. If you need a drink to loosen up the nerves or can't refrain from participating in a toast without being rude, stick to one glass of Champagne before you address the crowd.

Use Nerves to Your Advantage

A little nervousness can actually liven up your speech. "I get worried if I'm not a little nervous," says Maher. "I'll actually try to make myself a little tense to get my energy level up." The key is to harness that energy and communicate it in a positive, genuine way; tensing up to the point that you forget your words or panic won't make for a great presentation.

Be Yourself

Keep in mind that you're not putting on a show, only sharing your personal perspective. Trying too hard to force the funny can yield the opposite of the desired effect, cautions Matt Dalley, co-founder of Simply Eloped . "I've noticed that keeping it short and sweet, heartfelt and warm, and coming across as authentic and focused on the couple is something we are all capable of and generates some very wonderful moments," he says.

Never Embarrass the Newlyweds

It's a wedding toast, not a roast. While this should go without saying, keep the bachelor or bachelorette party jokes out of it, and remember that grandma and possibly a few colleagues are in the audience, notes Laurie Battaglia , a keynote speaker and workplace strategist. "It's okay to look back at childhood and refer to something funny, but ask yourself if you'd like 200-plus of your closest friends knowing that story about you."

Use Your Notes

Reading your speech straight from a piece of paper is a big no-no. However, having a couple of note cards handy is encouraged. "You're likely to be nervous, excited, and exhausted, which can make you forget your lines," explains Morin. "The audience won't care if you glance at your notes. In fact, there's a good chance they won't even notice."

Wedding Speech Brainstorm Ideas

Need some inspiration? Ask yourself these questions to get the brainstorming process going.

  • Who will speak before you? After you? How will this affect the content of your toast? (Perhaps you want to include a reference to their speech, thank them for an introduction, or introduce the next speaker).
  • Is there someone you should thank for making the event possible and inviting you to speak?
  • What would you want to hear in this speech if you were in the audience?
  • Is there a favorite story or memory that the couple would want you to share with their friends and family?

If you get nervous in front of an audience (as most of us do), the best defense against freezing up when you take the mic is being prepared.

6. Talk about the couple

If you’re the maid of honor and have been chatting up the bride for the whole speech, part of how to write a wedding speech is to make sure at some point it circles around to the groom, too, and to the two of them as a couple.  

Recount the time you met him, or how you remember talking about him with the bride in the beginning stages of their relationship. If you don’t know the groom all that well, talk about how good they are as a couple and about how happy he makes her. 

And If you’re not a fan of the groom, this is not the time to air your grievances. Always keep it positive. 

7. Have a beginning, middle, and end

All good speeches have a good flow and take the audience along with it. 

Don’t let your speech fall flat or jumble together in a haphazard confusion of disconnected anecdotes. Give it the structure of an overarching theme, with a beginning, a middle, and an end. 

We are not talking about a novel here, just make sure there is a direction to where the speech is going, and that the destination, end, or sentiment is achieved. It doesn’t need to be Charlie Chaplin in The Great Dictator, but a three-act structure does help keep you grounded. Most people also follow a story easier when there is a clear direction for a story or speech. 

8. Consider your audience

The next thing to keep in mind when considering how to write a wedding speech is to make sure you consider who your audience is. 

This is not the bachelor or bachelorette party. There will be a wide range of people present from children to the elderly, and from close friends of the bride and groom to casual acquaintances and coworkers. Make sure your speech is free of any crudeness that might not be fit for such a varied audience. Also, this isn’t the time to take a shot at any of the religious cermonies.

Be considerate and keep it positive and use language everyone can relate to. 

9. Keep it short and sweet

You want your speech to be meaningful and memorable; but the wedding is not about you, and yours is not the only speech.

10. Add humor

The most common people asked (or expected) to give a speech at the wedding include the best man, maid/matron of honor and the newlyweds’ parents. Of course, the couple can ask anyone they choose to say a few words on the happy day.

What is the Process For Writing a Wedding Speech?

Before you start the actual writing, jot down some notes to help figure out what you want to include. An appropriate joke, a happy memory, a wish for the couple, etc. You can also create an outline to help you organize your thoughts and the flow of your wedding speech before you start putting it all together.

How Long is the Speech Writing Process?

Everyone works at their own speed, but this is something you don’t want to rush through. Even if the words flow quickly, you will want to run the toast by a trusted friend or family member who will give you honest feedback. Do plan early. You do not—we repeat, do not—want to start writing your wedding speech the night before. This is something you want to give thought to and practice a few times before the main event. Don’t make it too long. The best wedding speeches are short and sweet. While you might be tempted to tell long stories or a variety of inside jokes, that will only result in bored guests. Keep it to three minutes maximum!

Do introduce yourself. Not everyone in attendance will know who you are and why you were chosen to be the best man or maid/matron of honor. Be sure to explain the connection you have with the couple

Don’t be inappropriate. Stay away from raunchy jokes and stories (as Pushkine notes, grandma is in the room!), mentions of ex husbands or wives, past lovers or even past proposals, and long tales of drunken nights. It’s never funny to embarrass someone on their big day.

Do bring up a happy memory. Feel free to share one or two good recollections you have of the bride or groom (or of them together as a couple).
